Agency Goes Paperless For Policyholders

Cost of new system quickly recouped by increased efficiency, savings

The Braley & Wellington Insurance Agency Corp. has spent thousands of dollars on 32 new computers, and is scanning years of documents into those computers in an effort to go "paperless" next year.

But as a trade off, the company expects to save more than $8,000 each year in paper alone, even though it will still need to use paper for hard copies of policies for customers. By using so much less paper, Braley also expects to save thousands on printer cartridges, copy machine usage and postage by making better use of e-mail and digital facsimile.

Faith E. Canario, the Worcester company's vice president, said saving money isn't the only reason the company began the paperless initiative.

"It's an effort to go green. We made a concerted effort because of the piles of paper that comes in here," she said. The increased efficiency may also help the company better cope with the state's new "managed competition" auto insurance reforms, according to Canario.

"Instead of running to files, the information will be at their fingertips," Canario said.

Customers who might worry about losing important personal or policy information to computer failure should be confident in Braley & Wellington's new system, Canario said. She said customers will still get paper copies of their policies in the mail, and all the digital data stored in the company's computers will be backed up off-site.

Canario said Braley & Wellington began scanning all of its incoming mail early this month, and is "back-scanning" two years' worth of paper policy information into the new computer systems.

The company has about 11,000 clients between its three offices in Worcester, Auburn and Millbury and holds about $36 million in premiums this year.

Canario said holiday and summer interns will be pressed into service scanning documents for the new system, which she said should be complete in early 2008.
